I'll start with a disclaimer that I heard from someone else but don't recall who.  Don't put any information into GenAI that you wouldn't want to see on Facebook.  I'll add to that by saying you shouldn't put anything on GenAI your boss wouldn't want your competition to see on Facebook.  With that in mind, I want you to ask your GenAI of choice the following questions:

  1. What do I need to know before starting a project?
  2. What do I need to know before starting a project to [describe the project in your own words]?
  3. What is a project vision and why is it important?

You probably already know the answer to the first question, but I want you to ask it so that you can see the difference in the response when you provide more context about the project.  Keep in mind that I’m not having you ask these questions for you.  I’m having you ask them so you can see what GenAI can do for your sponsors and stakeholders who need help setting up their projects; you may not even be involved, yet.  

Now request the following from GenAI, based on the project you just asked about:

  • Provide an example of a project vision for my project.
  • What should the roles and responsibilities be?
  • What should the project objectives be?
  • What project success criteria should I establish?

The vision is important because it helps GenAI understand more about the context of the project, but remember that GenAI is designed to be creative and may not have all the answers, so it sometimes fills in the details.  Validate any information it provides you.

Now, using the answers to these questions, fill in the and then paste the following into your GenAI, modifying as appropriate for your project context:

We are running a project to .  The project goals and objectives are .  Personnel will be needed from the departments.   will be impacted by the project and will benefit from using the product created by the project.  Based on this information, provide me with the following information:

  • Personas for customers and employees who might use the system
  • At least 5 user stories per persona, with acceptance criteria
  • Use cases, including alternate flows and exceptions
  • Test scenarios
  • Internal and external risks, including mitigations
  • Possible expenses
  • Possible milestones
  • Possible tasks

Edit the listed items as needed.

Depending upon the GenAI you’re using, you may be able to have it write the requested information directly to a file and create headers and page breaks for each section.

I’ve used this approach and shared the results with the project sponsor and major stakeholder.  They had some cleanup to do to align the content with our situation, but it saved them days of work that would have taken them weeks to complete and identified a few things they hadn’t considered.

One last thought before I let you go play.  GenAI continues to advance.  Prompts that are effective today may need to be refined tomorrow.  Prompts that work well on one GenAI may not work as well on another.  Learn more about prompt engineering.  Maintain your prompts and find ways to make things easier for your sponsors and stakeholders.  I can’t promise that all of them will appreciate you for it - you know them better than I do - but I’ve found value in this and hope you can too.
